How can I prepare for my upgrade?

There are 3 actions you can take to prepare for the upgrade:

  1. Make sure you have your IBC username and password handy as you will need them to register for IBC with Webex.
  2. Review your message history, and copy and paste any important chats into another format such as a Word document or Notepad file. These will not carry over when you upgrade and you must save them off Webex if you want to reference them after your migration.
  3. Make a copy of important external contacts you've added to your Contacts list as they will not transfer over during your migration. You will need to add them manually after your upgrade.

Set-up Instructions

Step 1: Click the link on the e-mail that you should have received, to activate your new IBC with Webex account

Step 2: Enter your IBC username and password, and click submit

Step 3: Enter your e-mail address and click submit

Step 4: Check you e-mail and follow the instructions to complete the process

Step 5: Click "Join Now" in the e-mail

Step 6: Click the relevant download link based on your device, to download the Webex app onto your device

Frequently Asked Questions

Upgrade

I received the upgrade e-mail but I don't know what you mean.

We released a new version of our IBC Collaboration add-on called IBC with Webex that includes many enhancements and features that you didn't have before. To get started, follow these steps:

Do I have to upgrade? When does this need to be completed?

Yes, you must upgrade! Information on your specific migration date was sent to you in an e-mail. You will need to upgrade by the date listed in your email as at that point we will begin shutting down access to your IBC Collaboration app.


I can't remember my username & password.

Your IBC Collaboration username is your phone number and @ibc.sasktel.com (E.g. 3067771234@ibc.sasktel.com) and your Webex login is your e-mail address. To reset your IBC Collaboration password, please contact your IBC administrator. 


I can't complete my registration. It says my e-mail is in use. 

Webex requires a unique e-mail address to complete your registration. Please see below and follow the scenario that applies to you. For each scenario, make sure to save important external contacts so you can enter them into your new account.


I don’t have a work email address/I share a group email with other people. Can I complete my Webex verification?

Each IBC with Webex account needs a unique email address to work. If you don’t have your own work email address or share a group email with others, there are two options to complete your verification and to start using Webex:

  • Use a personal email address or create a new email address unique to you. This can be done through free email services, like gmail or yahoo, or through your own domain name email server with your IT department.
  • Use an alias email address. This can be done by adding “+1” or any combo of letters/numbers to the end of your email handle. Your email server will recognize it as belonging to the original email address but Webex will think it’s a unique email address and let multiple users complete the Webex verification. For example, info@smallbus.ca can be used by user 1 in your organization, info+1@smallbus.ca can be used by user 2, info+2@smallbus.ca can be used by user 3, ect. Emails concerning all Webex accounts using this method will arrive in the info@smallbus.ca inbox.


Do I need access to my current IBC Collaboration app or can I delete it?

After you've completed the upgrade verification process and have downloaded the Webex client on your desktop, please update your mobile devices:

Now that you have downloaded your new IBC with Webex client, you will need to remove the old SaskTel IBC clients from your system and/or mobile devices. 

Uninstall:

  • Desktop:
    • If you are using a Windows OS, select Start, then select Settings > Apps > Apps & features, and uninstall "SaskTel IBC" app. Detailed instructions.
    • If you are using a MAC OS, locate the "SaskTel IBC" app in the Finder. Then move the app to Trash to uninstall. Detailed instructions.

I downloaded the new IBC with Webex. What's next?

Great! Start searching for colleagues to send them a chat or give them a ring. Keep in mind that in order to communicate with your colleagues, they must also be using the new IBC with Webex app.


I downloaded the new app but I don't see any of my contacts.

Awesome! You're almost there. When you downloaded the new app, old contacts did not migrate over. With IBC with Webex, all you need to do is search for a co-worker and then start a chat. Once chat is initiated, your chat message will appear under Messages in the Messaging window.


I downloaded the app but I don't see my message history.

Prior to migration you need to log in to your IBC Collaboration add-on to retrieve and save any old messages you need to save. They don't carry over to the new app.


I downloaded the new app, logged in, but I'm not able to see or find my co-workers.

It is possible that your colleagues have not yet downloaded and logged in to the new app yet. Next step is to get everyone in your company to take the same steps you did so everyone can start experiencing the power of Webex!


I downloaded both the desktop & mobile apps. Will my chats be synchronized?

Yes! All activity from your messages and call history will be synched. You can seamlessly move between desktop and mobile, and always have the most recently activity captured.


How do I change my IBC password?

You can easily change your IBC password using the IBC Portal. Simply select "Profile", then click "Passwords" to change your password.


How do I set up recurring meetings?

You can set up a recurring meeting using these steps:

Once you open IBC with Webex, click on your profile icon in the top left corner of your screen. From the drop down menu, select Settings.


In the Settings menu, select Meetings. Scroll down the Meetings options to find Edit my Personal Room on the Webex Site.


From there, click on the Calendar icon on the left side of your screen, then click Schedule a meeting.


 After you fill in your meeting information, check the Recurrence box to set up your recurring meeting


And that's it! You have now scheduled a recurring meeting in IBC with Webex.


I can't find the keypad once I am in a call. Where do I find it?

In some instances, you will need to access the keypad when you are already in a call. An example of this is using your voicemail. Here is how you access your keypad when already in a call.

When making a call (i.e *99 for voicemail) — enter the phone number, then click the "Audio" button.


Once the call pop-up is on your screen, click "Keypad" at the bottom of the screen.



Can I still contact the Help Desk for support?

Yes, absolutely! Please continue to contact SaskTel for any questions related to IBC with Webex. Additionally, there is an online help center you can bookmark for any feature related questions.


Existing Webex Account Holders (free and paid)

I already have a free or paid Webex account or I can't complete my registration. It says my e-mail is in use.

Webex requires a unique e-mail address to complete your registration. Please see below and follow the scenario that applies to you. For each scenario, make sure to save important external contacts so you can enter them into your new account.

Free Webex Account: If you have an existing account, you'll either need to delete that free account or provide us with a new e-mail address.

Paid Webex Account: If you have a paid Webex account, you'll need to use a different e-mail address or you will need to delete the existing Webex accounts of the users you wish to migrate. You will also need to unclaim the e-mail domain from your organization to complete your organization's migration to the new Webex.

Why should I upgrade?

If you fail to upgrade to the new service you will be limited to only using voice calling on your desktop device and will not have access to the new features available in the combined platform such as:

  • Desktop Sharing. Allows users to share their desktop remotely with another user.
  • File Sharing. Allows users to share files with another user.
  • Instant Messaging. Instant messaging is becoming more important to business and using IBC with Webex provides the consistency of one platform your entire organization can use.
  • Spaces. Provides a permanent collaboration room to chat with participants, share a desktop and invite external parties to collaborate.
  • Presence. Change your profile photo and share your availability status (i.e. Working from Home, Traveling for Business, Out for Lunch, Be Right Back).
  • Video Calling. High quality video calling gives your virtual meetings a professional look.
